We’re seeking a detail-oriented, experienced Payroll Specialist to join our growing team. This role is ideal for someone who thrives in a fast-paced, multi-client environment and has deep expertise in union payroll , certified payroll reporting , and prevailing wage compliance across multiple states.

Key Responsibilities

• Process weekly and biweekly payrolls for multiple clients, including those with union and prevailing wage requirements
• Prepare and submit certified payroll reports (e.g., WH-347) accurately and on time
• Maintain compliance with federal, state, and local wage laws, including Davis-Bacon and state-specific prevailing wage rules
• Coordinate with clients to ensure proper classification of employees, wage determinations, and fringe benefit allocations
• Reconcile payroll liabilities and ensure timely tax filings and payments
• Collaborate with our bookkeeping and compliance teams to ensure seamless integration with general ledger and job costing systems
• Assist with onboarding new payroll clients, including system setup and process documentation

Qualifications

• 3+ years of payroll experience, with a strong focus on union payroll and prevailing wage projects
• Proficiency in Sage , QuickBooks Payroll , Gusto , ADP , or similar platforms
• Familiarity with certified payroll reporting tools and requirements
• Strong understanding of multi-state payroll tax compliance
• Excellent organizational and communication skills
• Ability to work independently, manage deadlines, and handle sensitive information with discretion

Preferred

• Experience with construction, trades, or public works clients
• Knowledge of job costing and integration with accounting systems
