The Concierge Specialist exists to ensure an exceptional first impression and ongoing experience to callers, visitors and residents while complimenting the efforts of the care staff and supporting TFF administrative functions. Responsibilities Promote the mission, services and image of TFF on a continuing basis to all personnel, residents, guests/visitors, volunteers, vendors, and all communities via appropriate words and actions. Support the vision of the President/CEO by working cooperatively and cohesively on service and operational matters with the ED/TFF management teams and fellow employees. Provide concierge functions for TFF, including meeting and greeting guests and residents, guiding them through the property to their destination, and assisting with entrance/exit of the community and vehicles under the covered entrance. Notify and coordinate with TFF regarding visitors and appointments. Be aware of community schedules, transport schedules and major TFF calendar events to navigate callers/visitors appropriately. Answer telephone calls with a positive demeanor and ensure callers\' expectations are exceeded. Handle prospect calls/families in a call-to-action manner to reach the proper destination. Ensure the auto-attendant is ON and forwarded during nights/weekends. Maintain and improve building appearance and atmosphere with amenities such as flowers, music, scent, and other aesthetically pleasing elements. Ensure front of house is clean and that main hall restrooms are stocked and maintained by housekeeping. Receive and distribute mail daily, ensuring all outgoing mail is sent and incoming mail is properly distributed. Promote effective and positive employee relations by greeting applicants, distributing applications, and communicating with TFF regarding interviews and status of initial applicant process. Communicate with all employees to ensure understanding of TFF’s mission and core values. Assist with salon scheduling and tracking of resident appointments. Assist with planning, development, and execution of internal and external events, including resident cookouts, Alzheimer Walks, quarterly meetings, and staff appreciation events. Coordinate with the front office when away from desk to ensure phone coverage. Foster a positive working culture across locations/departments that supports personal development, an energetic attitude, effective communication, and brand alignment with TFF guidelines and standards. Good organizational abilities. Good problem-solving skills. Basic knowledge of the recruitment process. Strong phone, email and in-person communication skills. Excellent organizational skills with the ability to prioritize important projects. Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
