Job Title: Client Onboarding Specialist (Investment Management)

Location: Toronto (Hybrid – 3 days onsite)
Type: 6-month Contract
Schedule: Generally 8:30 a.m. start (approx. 7–7.5 hours daily), with a rotating early shift (7:30 a.m. start every 4th week)
Start Date: ASAP

About the Role

We’re seeking a Client Onboarding Specialist to join a dynamic team specializing in investment transitions and onboarding for institutional clients. This role is ideal for someone who thrives in a fast-paced environment, enjoys solving complex problems, and is motivated to deliver exceptional service in the investment management industry.

You will be part of a collaborative team responsible for supporting the onboarding of defined benefit plans, defined contribution plans, foundations, endowments, and other institutional clients. While you will not work directly with clients, you will play a critical back-office role ensuring the accurate and efficient setup of investment products and accounts.

Key Responsibilities

  • Client Onboarding & Transitions:
    Support the implementation of new clients, including documentation review, coordination with custodians, investment managers, transition managers, and transfer agents.

  • Process & Documentation:
    Maintain and improve onboarding processes for efficiency and risk management. Prepare and review trust agreements, offering materials, and other legal documentation.

  • Product & Manager Implementation:
    Assist with the launch of new products and the onboarding of third-party managers, including setup with custodians and execution of initial trades.

  • Sub-Advisor Changes:
    Coordinate sub-advisor transitions, including documentation, custodian setup, and execution of transitions.

  • Ongoing Account Maintenance:
    Support plan mergers, master trust dismantling, name changes, client billing, and maintenance of client documentation.

  • Collaboration & Investigation:
    Work closely with other internal teams to investigate issues and ensure accurate trade and record-keeping processes.

Qualifications

  • 4–5 years of experience in financial services, investment operations, or securities administration.

  • Knowledge of fixed income, equity, and alternative investments (e.g., capital calls, hedge funds).

  • Experience working with custodians, investment managers, transition managers, and transfer agents.

  • Strong technical, analytical, and problem-solving skills.

  • Solid Microsoft Office skills, with emphasis on Excel (Macros a plus).

  • Exceptional organizational skills with the ability to manage multiple priorities independently.

  • Strong interpersonal, communication, and project management skills with high attention to detail.

  • Charles River Investment Management System experience is an asset, but not required.

Preferred Assets

  • Mutual/Pooled Fund experience.

  • Cash management or trade processing background.

  • Quality assurance or user acceptance testing experience.

  • Intermediate to advanced Excel proficiency.
