This position is for you if:

• You have a minimum 3 years related experience and/or training combination and 2+ years in Office Management.
• You are bilingual in English & Spanish
• You have knowledge and experience in Excellent Customer Service, Employee Relations and Accurate Data Entry.
• You have strong attention to detail, enjoy project management and are self motivated.
• You are Microsoft Suite and Google Proficient.
• You love growing a garden and looking at beautiful flowers!

Join our team:

As the successful Office Manager you will organize and coordinate office operations and procedures to ensure effective customer service and efficient tracking of seed, inventory, labor tracking and shipping with our amazing Sun City Team. This role will also be the HR/Payroll Liaison for our employees and the corporate office. The successful candidate will be customer-centered and have experience in a fast paced environment.

The job details:

1. Greet and direct visitors coming to the greenhouse nursery.
2. Prepare and track all plant order forms as well as all shipping documents for the facility.
3. Manage select key customer accounts as assigned to create long term customer satisfaction.
4. Provide quotes and updates to customers on product & shipping information, process customer orders, adjust orders as needed.
5. Increase sales revenue and margin via active inside selling and proactive support to outside Sales Representatives.
6. Maintain integrity of Speedling forms, waivers, agreements, customer information, research and manage customer claims as needed for approval.
7. Collect any required customer payments and document properly. Follow up on pending customer balances and update the AR team on updates.
8. Manage daily shipping and trailer tracking activities, including order fulfillment, prepare paperwork and goods for shipping, and ensure timely delivery meeting customer expectations.
9. Coordinate with carriers and optimize shipping routes to minimize costs and maximize efficiency.
10. Close work orders once they have shipped in the system.
11. Create purchase requisitions for regular purchases and receive items in ERP system.
12. Assist with End of Month Inventory, Budget and Forecast expenses.
13. Implement office policies, organize office operations and procedures.
14. Update labor tracking and maintain Time and Attendance records.
15. Participate on Safety committee and coordinate Safety meetings within facility.
